Job Description: 
Position Description This is a full-time exempt position that supports a Dallas based family office, Foundation, and individual family members as the office manager and executive assistant to the family office president. This role supports the business by providing general office, technology, reporting, and administrative services across many office functions. This position reports directly to the president of the family office and will work at the company’s Dallas, TX office location. This is primarily an in-office position. Major Areas of Responsibility 1. Office Manager • Provide general office management and other administrative tasks, including maintenance of digital record keeping, information management, and all office supplies and equipment. • Maintain office calendar, quarterly meeting preparation (space, materials, refreshments), and welcome guests. • Liaise with technology, building management, and various other vendors. • Coordinate securing signatures for all documents, including meeting minutes, trust, estate, bank, legal, and tax with both family members and directors/trustees. • Serve as office administrator to all software / subscriptions used within the business, such as Microsoft, Adobe, Sync, WSJ, Dallas Business Journal, etc. • Create and produce reporting through financial institution web portal. • Other duties and projects as assigned. 2. Executive Assistant • Assist in managing president’s calendar and schedule. • Screen and process all incoming phone calls to the president and main office line. • Provide administrative support in various areas, including travel, meeting, and communications. • Perform other support or administrative duties as requested. Ideal Characteristics / Competencies • Bachelor’s degree or equivalent preferred • Significant experience (minimum 5 years) as an administrative professional • Experience in a family office environment preferred • Technologically-savvy with advanced skills in Microsoft 365 (Word, Excel, Teams, PowerPoint) and Adobe Creative Suite • Highly organized self-starter with attention to detail • Strong communication and interpersonal skills • Strong time management skills and ability to prioritize and manage several projects concurrently • Highest level of integrity and confidentiality in all matters • Positive attitude and professional demeanor • Ability to be self-reflective and to read people • Ability to move up to 50lbs (e.g., 5-gallon bottled water, copier paper) with mechanical assistance • Regular and predictable attendance Covid-19 All employees are encouraged to be fully vaccinated and boosted.
